What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you provide images for us to upload to the website, you should avoid providing images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Clients

For us to publish your work, we will require certain information such as:

  • your real name
  • your email address
  • your postal address (to ensure that our our invoices are ATO-compliant and so that we know where to ship your books)
  • your mobile phone number (in case our emails to you should ever bounce back, and because this is a required field when organising your book deliveries)
  • your ABN if you are operating under a business structure
  • a next of kin who is not living with you in case something happens to you and we need to find out what to do with your royalties and published works.

Who we share client data with

We share your name, address and mobile phone number with our print suppliers for the purposes of ordering your books. They print these details on the shipping labels and share the data with the shipping company.

We share your name or pseudonym and any details you ask us to make public (e.g. your ‘author bio’ or website URL) with the platforms we publish your book to.

Other than the above, and unless requested by law, we don’t share your data with anyone.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We retain client data indefinitely.

What rights you have over your data

If you are a client of ours, or have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.

How we protect your data

  • We use paid virus protection software.
  • All computers are password-protected.
  • We use reputable software companies for all our services e.g. accounting, website hosting etc.
  • Staff are required to sign a Confidentiality Agreement prior to commencement of work with us.
  • We don’t outsource your work to third parties without your knowledge. Generally speaking, all work is done in-house unless you’ve requested to use your own service provider for any portion of it e.g. your own cover designer

Basically speaking …

To provide our service to you, we will ask you for certain information so that we can provide our service and comply with our legal obligations. This information may include your real name, your pseudonym, your residential address, your telephone number and email address, your bank account details and your ABN, if you have one.

We do not share, rent or sell your personal contact information to anyone. Your personal information is collected to allow us to perform the work you have contracted us for, to protect us in the event of legal action, and to ensure compliance with our taxation and reporting obligations. The only other time your personal information would be released to a third party would be in the event that we are required to comply with a legal obligation such as subpoena.
